Operations Assistant - Oil Tankers

About the job

Operations Assistant - Marine will assist in the day-to-day operations of vessels, providing necessary support to the Operations Manager.

Preparing demurrage invoices and checking disbursement accounts, in order to be approved by the Operations Manager.

Maintaining/Updating the departmental filing system.

Arranging forwarding of the vessel’s documentation on board of the ship, preparing the relevant transmittal letters and collecting master’s receipt of confirmations.

Ensuring the proper distribution of the department incoming correspondences/mail etc.

Maintaining vetting inspections records/arrangements

Maintaining PSC records & updating relevant database

Keeping records of the charterer parties and voyage orders as well as the voyage files.

Submitting all the information/documents requested by the charterers as per the Operations Manager instruction.

Updating the documents including the vessels’ positions, agents, ETAs etc and disturbing the updated list to the company’s departments.

Updating list and documents related to operations key performance indicator.

Providing general assistance in the department (e.g. Typing and formatting of letters)

Arranging for the proper operation of the fleet incoming telephone calls.

Implementing the Company’s Environmental Management System (EMS) as required

Technical Superintendent - Oil Tankers

About the job

Provide support and recommendations on all technical issues that arises in all vessels. 

Oversees the process of implementation of maintenance recommendations from testing to deployment. 

Manages complicated technical issues giving right decisions to implement according to the company rules. 

Ensures that the crew on all vessels performs within set technical guidelines and procedures.

To monitor performance of all machinery parameters and verify PMS system have been implemented and maintained based on QSMS. 

Trains and set best practices methods with DPA, Operations, Crew Managers to overcome risks.

To ensure suitability surveys, and sail-away surveys are conducted, and vessels are certified for undertaking voyage; 

Cooperating with the purchasing department for the proper handling of the ship’s requisitions and the delivery of the required items. 

Assisting in the quarterly inspection surveys done on vessels. 

Acting as the member of the Shore Emergency Team. 

Submitting and cooperating in the review of proposals for improving the system. 

Keeping the DPA & QHSE Manager informed about all items affecting the Safe Operation of the vessels. 

Evaluating the C/Es and Engine Department officer’s appraisal Performance. 

Evaluating the statistical data concerning machinery damages frequency, investigating the causes and recommending repairs. 

Protects organization's value by keeping information confidential.

مساعد العمليات - سيساعد البحري في العمليات اليومية للسفن، وتقديم الدعم اللازم لمدير العمليات.

إعداد فواتير التأخير والتحقق من حسابات الصرف، من أجل اعتمادها من قبل مدير العمليات.

صيانة/تحديث نظام الملفات الإدارية.

ترتيب إرسال وثائق السفينة على متن السفينة، وإعداد خطابات الإرسال ذات الصلة، وجمع تأكيدات استلام القبطان.

ضمان التوزيع السليم للمراسلات/البريد الوارد إلى القسم وما إلى ذلك.

الحفاظ على سجلات/ترتيبات التفتيش والتدقيق

صيانة سجلات PSC وتحديث قاعدة البيانات ذات الصلة

حفظ سجلات أطراف التأجير وأوامر الرحلة بالإضافة إلى ملفات الرحلة.

تقديم كافة المعلومات/المستندات المطلوبة من قبل المستأجرين حسب تعليمات مدير العمليات.

يشرف على عملية تنفيذ توصيات الصيانة من الاختبار حتى النشر. 

إدارة القضايا الفنية المعقدة وإتخاذ القرارات الصحيحة لتنفيذها وفقًا لقواعد الشركة. 

ضمان قيام طاقم جميع السفن بأداء مهامهم ضمن الإرشادات والإجراءات الفنية المحددة.

لمراقبة أداء جميع معلمات الآلات والتأكد من تنفيذ نظام إدارة الأداء وصيانته على أساس نظام إدارة الجودة. 

يقوم بتدريب ووضع أفضل الممارسات مع إدارة العمليات ومديري الطاقم للتغلب على المخاطر.

لضمان إجراء مسوحات الملاءمة ومسوحات الإبحار، وإصدار شهادات للسفن للقيام بالرحلات؛ 

التعاون مع قسم المشتريات لضمان حسن التعامل مع طلبات السفينة وتسليم المواد المطلوبة. 

المساعدة في عمليات التفتيش الفصلية التي يتم إجراؤها على السفن. 

العمل كعضو في فريق الطوارئ الشاطئية. 

تقديم والتعاون في مراجعة المقترحات الرامية إلى تحسين النظام. 

إبقاء مدير DPA ومدير QHSE على اطلاع بجميع العناصر التي تؤثر على التشغيل الآمن للسفن. 

تقييم أداء ضباط قسم المحركات والميكانيكا. 

تقييم البيانات الإحصائية المتعلقة بمعدلات تلف الآلات، والتحقيق في الأسباب والتوصية بالإصلاحات. 

حماية قيمة المنظمة من خلال الحفاظ على سرية المعلومات.
